How to navigate to the rollout

To start the solution-based rollout for Contracts, we have to navigate to the starboard. Then click: Solution-based rollout and select Contracts. After selecting Contracts click Rollout selected solutions. This will provide you with a short explanation like the one below.

After this a new page will open:

Steps to follow

Step 1 Adding the contract types

Contract types are used to distinguish between contracts and are not mandatory. To add different contract types

, we should navigate

Then there are some predefined settings, if these need to be adjusted this should be done via settings → modules → Contracts: ‘Setup’ button om your startBoard → ‘Processes’ tab→ ‘Contracts’ tab.

Step 3 Start rollout

USER PROFILES

In contrast to other rollouts you might notice that you do not have the option to generate an end user profile. To make contracts available in end user profiles, the authorization groups (e.g. View contracts and Contract notifications) need to be:

  1. added to an existing user profile, or;

  2. you can use the ‘Create userprofile’ button on your startBoard

More on configuring profiles in User profiles.

  • If this is the first Solution Based Rollout (SBR) for this environment, then the settings' Generate key user profile' will be set to ‘Yes’ by default. Don’t change this default setting, unless you want to create the profiles from scratch.

  • If this is NOT the first SBR and therefore the environment already has existing end User Profiles the default value for “Generate end user profile” will be ‘no’ when starting the wizard. The default value for key user profiles will always be ‘Yes’.

    • “Generate key user profile =no’; no new key user profile will be created. In this case you are expected to modify an existing key user profile to be able to handle all key user tasks and responsibilities.

What happens when clicking the green Start button in this wizard step?

  • You move on to the next page of the Wizard.

  • Key user profile is generated for key users contract managers (more on profiles in User profiles).

Step 4 Check data and close the rollout.

On the next page we can check all items that have been created. This also contains a checklist we can follow.

  • The import file created in this SBR is the import for contracts, contract period schemes and items. To download the import template:

    • navigate to the “Relevant imports” include

    • Click Generate import template

    • Click the download icon next to the loop to download the template.

    • Send files to the client

  • Import files receives and approved

    • If relevant, check if Properties/Assets and Catering objects are imported successfully. When the properties and areas are already imported when Initializing the environment these boxed can be checked directly.

    • Click Upload import file and upload the import file obtained from the customer. For more info on imports look into.

If everything is handled we can close the rollout by clicking the close button, Contracts will now be shown as a NavigationMenu option.

Where do I find the settings I selected

General reservation settings can be found in the client settings: press the ‘Setup’ tile on your startBoard > ‘Processes’ tab > ‘Contracts’ tab.
