Assigning access rights in the context of a building is a helpful way to separate the building data in Workplace Management. When a user has contextual rights to a particular building or area in the system, they cannot see or edit the building information for the buildings or areas to which they do not have contextual rights. Moreover, contextual rights will also hinder the possibility of creating objects such as requests, reservations, and purchase orders for buildings to which they do not have access.

Contextual access groups

There are three access right groups that can be set in the context of a building:

• View areas and buildings

  • If access to the building or area is set in this group's context, the user can only view the information on the building or area.

  • The user can also make objects, such as requests, reservations, and purchase orders, etc., for this building or area.

• Edit buildings and areas

  • In addition to rights granted by the group “View areas and buildings,” the user can edit the information about the building or area.

• Reservation coordinator

  • If the reservation coordinator group is added in the context of a building or area, access to the reservations is limited to those relevant to this building or area. This also applies to the reservation calendar.

There are two ways of managing contextual access to a building or area.

1. Via the instance page of the building or area

When contextual access to buildings has been activated in the environment, there will be a new tab, “Authorized users,” on the instance page of a building or area. The list of users with contextual access to a particular building or area can be managed via this tab.

To add a new user to this list:

1. Navigate to a building or area;

2. Click on the “Authorized” users tab;

3. Add a user who should have access to this building;

4. Select the desired access right group;

2. Via the system user page

When contextual access to buildings has been activated in the environment, two new tabs, “building to which this user is authorized” and “Areas to which this user is authorized,” are made available on the system user page.

To manage the buildings, a user has access to:

1. Select a system user;

2. Click on the tab “Building to which this user is authorized.”

3. Click on the “Add” button.

4. Select the buildings the user should have access to

5. Click “Assign selected buildings”

6. Select the desired contextual group(s)

Het toewijzen van toegangsrechten in de context van een gebouw is een handige manier om de gebouwgegevens in Workplace Management te scheiden. Als een gebruiker contextuele rechten heeft voor een bepaald gebouw of gebied in het systeem, kan hij de gebouwgegevens voor de gebouwen of gebieden waarvoor hij geen contextuele rechten heeft, niet zien of bewerken. Bovendien belemmeren contextuele rechten ook de mogelijkheid om objecten te maken zoals aanvragen, reserveringen en inkooporders voor gebouwen waartoe ze geen toegang hebben.

Contextuele toegangsgroepen

Er zijn drie toegangsrechtgroepen die kunnen worden ingesteld in de context van een gebouw:

• Gebieden en gebouwen bekijken

  • Als toegang tot het gebouw of gebied is ingesteld in de context van deze groep, kan de gebruiker alleen de informatie over het gebouw of gebied bekijken.

  • De gebruiker kan ook objecten maken, zoals aanvragen, reserveringen en inkooporders, enz. voor dit gebouw of gebied.

• Gebouwen en gebieden bewerken

  • Naast de rechten die worden verleend door de groep "Gebieden en gebouwen weergeven", kan de gebruiker de informatie over het gebouw of gebied bewerken.

• Reserveringscoördinator

  • Als de reserveringscoördinatorgroep wordt toegevoegd in de context van een gebouw of gebied, is de toegang tot de reserveringen beperkt tot de reserveringen die relevant zijn voor dit gebouw of gebied. Dit geldt ook voor de reserveringskalender.

Er zijn twee manieren om contextuele toegang tot een gebouw of gebied te beheren.

1. Via de instantiepagina van het gebouw of gebied

Als contextuele toegang tot gebouwen is geactiveerd in de omgeving, wordt er een nieuw tabblad "Geautoriseerde gebruikers" weergegeven op de instantiepagina van een gebouw of gebied. De lijst met gebruikers met contextuele toegang tot een bepaald gebouw of gebied kan via dit tabblad worden beheerd.

Om een nieuwe gebruiker aan deze lijst toe te voegen:

1. Navigeer naar een gebouw of gebied;

2. Klik op het tabblad "Geautoriseerde" gebruikers;

3. Voeg een gebruiker toe die toegang moet hebben tot dit gebouw;

4. Selecteer de gewenste groep met toegangsrechten;

2. Via de gebruikerspagina van het systeem

Wanneer contextuele toegang tot gebouwen is geactiveerd in de omgeving, worden twee nieuwe tabbladen, "Gebouwen waartoe deze gebruiker gemachtigd is" en "Gebieden waartoe deze gebruiker gemachtigd is", beschikbaar gemaakt op de gebruikerspagina van het systeem.

Om de gebouwen te beheren, heeft een gebruiker toegang tot:

1. Selecteer een systeemgebruiker;

2. Klik op het tabblad "Gebouw waartoe deze gebruiker gemachtigd is".

3. Klik op de knop "Toevoegen".

4. Selecteer de gebouwen waartoe de gebruiker toegang moet hebben

5. Klik op "Geselecteerde gebouwen toewijzen".

6. Selecteer de gewenste contextuele groep(en)

Voorbeeld van contextuele toegangsrechten op gebouwen

Het onderstaande voorbeeld laat zien dat de gebouwen die selecteerbaar worden bij het maken van een object, zoals een verzoek, worden bepaald door de autorisatierechten van de gebruiker.
