Building module explained

To open the property building module, click on Properties in the menu:

In the property building module, you can search for a property building (building) and create a new propertybuilding.

Using the

building module (use cases)

Using the (advanced) search functionality Type in “Spacewell” in the search bar and press Search. We then get all the locations with “Spacewell” in the name. If you leave the search bar empty and press search, you will see all the properties available in the system. Info Click on the drop-down button next to the “Search” button to gain access to “Advanced search”. By using this option you can also search on: Address, City, etc.
Look up property building information Type in Arnhem > Search > open “Spacewell Arnhem” by clicking on the Reference number. After opening the propertybuilding, you can see information regarding the propertybuilding, location details, and building details. It`s also possible to add a picture of the object.
View areas In the property building card, you see a tab called  “Areas.” In this tab, you can see which areas are part of a propertybuilding.

Meters Open property building > meters Here you will find the meters belonging to this propertybuilding
Property Building Valuations With the right credentials and the setting turned on, you can see the “Property “Building Valuations” tab. Valuations can be added for example, market value, tax value etc.

Area module explained

To search for an area, click “Areas” under the Properties header in your menu.

You will see a screen in which you can filter the areas. There are different options for finding an area. If you leave everything empty, it will show all the areas available. For example, if you filter on “Property“Building,” you will only find areas that belong to that propertybuilding.

• The “Count” button will show an indication of the total number of objects that fits your search filters Note: access right are not taken into account with this search, so when click ‘Search’ you might find less properties.

• The “Search” button will reveal the results of the search job.

To see more details of an area, click on the area number. You will see different tabs and options you can fill in regarding the area.  For example, you can make an area available for reservation.

Using the area module (use cases)

View area information The general tab contains the name, description and other general setting for an area. You also upload a photo of the areas here.
Add Services Within this tab you can add services for this area. For example ‘Rent’ or ‘Cleaning services'
“Reservation settings”tab When ‘Reservable = yes’ on the general tab, this tab is shown. Consult the help text of the field by hovering over the field. Some options are: Change availability or block dates, Add seating arrangements (and set a default), Change capacity, and (dis)allow catering
“Related objects” In this tab you can ee which objects are related to this area. For example you can see which checklists, reservations, work orders, and contracts are related to this area.

Create a new

building

In the property building module, you can create a new propertybuilding.

1. Click on ‘Properties’ in the property building module;

2. Click on the “Create new property” building” button;

3. Select the category in which the property building should be created.
   

   

4. Click ‘OK’;

5. A new screen will open where you can create a new property building and enter the details.

6. It is also possible to add a sub-property building to an (existing) property building by using the “Create new property” building” button at the bottom page. You can find this function in the “Subproperties” include. See screenshot.

Note:

• The property building category you choose determines the fields, tabs, and functions that are available.

• A typical hierarchy would be to have a site with multiple properties as child propertybuilding.

• The category Geographical area can, for example, be used as a parent for properties/ sites within the same city or country.

Create a new area

Within a propertybuilding, you can create (additional) areas that belong to the property building you have open. To do that:

1. Open a property building

2. Select the tab “Areas.”

3. You will find the option “Create new area” above the list of areas. 

4. After clicking ““Create new area”“ you need to select the area category and press “Create”

5. You can enter the details of the area, the size, a description if it`s reservable, and a photo.
6. Fill in all the info, and to save the new area, press the button “Save and return.”

Good to know

• Change parent areas. After creating an area, it is still possible to change the parent of an area. Open your area card and select a different option in the “Parent” field.

  1. Press “>” at the end of the “Parent” field.

  2. Press the … (three dots)

  3. Search for your area and select it.

• Hierarchy. You can create different types of areas on a property building to build your hierarchy. All area categories (see screenshot). A logical hierarchy would be: Property Building → Floor → Area → Workplace or Meeting room

• Active ‘no’. If an area has the status “Yes” the column “Active”, that means you can find them by using the default search functionality. If the status is “No”, you only can find them by using “Advanced search”, as advanced search also queries closed objects.

• A Property Building can be built up from multiple floors and different areas

• New areas can be created and added to properties.
