Know the different license types
Different license types
Licenses decide the authorizations basics for every user. The license type is set on the user and can be found on the user page:
At this moment we use 5 different licenses:
Requestor: Can only create and change (own) reservations, requests and visitors. Also has limited view rights.
Limited user: Can additionally modify objects that he has not created himself (via a workflow task).
Full user: This license gives the user the rights to create and modify all objects.
System Administrator: A Spacewell system user license.
Special user: special license for (customer) specific cases
What we mean with authorization basics is that if a user has a Requestor license, it will never be able to create and modify all objects, because they will not be able to obtain the User profile/groups that are needed to do so. So the most basic level of authorization is given to a user by their license.
Licenses can only be assigned if enough licenses are available. This can be checked on the system administrator's startboard or via Admin-> Setup.
Required license for user groups
Specific user groups might require a certain license. Editing properties (GOB-G007 - an example user group) for example would require a full user license: the user should not only be allowed to to view/edit objects made by the user, but they should be able to edit any property, thus need a full user license. More on user groups can be found in User groups.
In the fmb it has been decided for each user group what the minimum required user license is. This is done on the User group page:
This means that for users with a profile containing one or more of the groups requiring a license, Workplace will notify you when assigning a profile to a user with a license that does not comply with the license required in the user groups.
F.e. The group 3. edit properties requires a full user license. This could be a group within the profile Service desk employee, if we have a user with a Requestor license, and we try to give this person the Service desk employee, Workplace with give an error saying:
