Preventive maintenance work orders

Preventive maintenance can be created and scheduled using maintenance schedules.
Preventive work orders are
generated periodically and can be assigned to internal or external executors.

The “Preventive workorder manager” has access to the Maintenance schedule and Workorder menu. These users can create maintenance schedules. In the maintenance schedule, the user enters the name of the schedule, the cycle, and a description. The preventive work order is part of a maintenance schedule.

  1. Navigate to “Maintenance schedules” under “Maintenance” in the menu.

  2. Select your schedule by clicking on it or creating a new one.

  3. Fill in the name of the schedule.

    • Fill in the start and end time of the work order.

    • Fill in the interval schedule, in this case, every first Wednesday of the month.

    • As last, the end date or the max number of the cycle

    • If an external party executes the work, you can add a contract to the schedule.

    Click on the work order template to add a work order to the schedule.

  4. Fill in the work order details and choose the correct treatment group. If needed, a contractor

    It is also possible to add a checklist by navigating to the checklist tab.

    Press “Save and return.”

  5. To generate the preventive work order(s), press the “Generate Workorders” button.

You can create and edit work order schedulers which automatically will generate work orders from the different maintenance schedules.

To create/edit a work order scheduler:

  1. Navigate to “Maintenance schedules” under the option “Maintenance” in the menu.

  2. Click on “Work order schedulers”

  3. Click on new to create a new scheduler or to edit an existing click on the hyperlink of an existing schedule.

It`s also possible to send a notification if a schedule has run.

You cannot select a separate maintenance schedule for generating work orders in the scheduler.

Two examples of a work order schedule.

  • Runs weekly

  • Generates work orders for 1 week in advance

  • With a maximum of 300 work orders

  • Runs weekly

  • Generates work orders for 1 month in advance

  • On Tuesday

  • With a maximum of 300 work orders

By pressing the “Run” you can manually run the schedule.

 How to handle a preventive work order

How to handle a preventive work order

The preventive work order manager is assigned the task of submitting the work orders that are generated (depending on the settings for this). The work order process itself is very similar to that of the corrective work orders and for more in depth details of handling a work order read the article about corrective work orders. After submitting the person (internally) assigned with the work order is responsible for the rest of the process.

It is possible to auto submit preventive work orders, administrators can turn this setting on/off.

There are several steps with different options for proceeding.


Step 1:

  • Forward work order
    Plan the workorder and forward it to the one assigned to do the job.

  • Start quotation process
    A tendering process can be started and will be linked to this work order by using this button


Step 2:

  • Work Finished
    If the work is done, select this option to proceed in the process.

  • Reschedule
    If the work cannot be carried out, reschedule the work order.

  • Retract
    The status of the request will change back to “submitted” and various fields can be filled in again. For example use this if the request is assigned to the wrong contractor. Don’t forget to assign the work order again!


Step 3:

  • Approve
    If the job is executed as expected and the work order is filled in completely.

  • Reject
    Reject the work order, for example the it is not done correctly. When the work order is rejected, the status will change to “Rejected” and you will be able to reschedule the work order.
