Employees

It is possible to add employees to your organization, add private information (address, email, phone number, etc.), and register an inflow, mutation, or outflow process for employees.

 Create a new employee

Create a new employee

To create a new employee, navigate to “Persons” in the navigation menu under the option “Contacts.”


1. Click on the button “Create new person,” and you will create a new contact in the category
“Employee.”

2. Fill in the new contact’s details; if a field is unclear, hover over it for a help text. After filling in all
the fields, press the “Create employee” button. Fields with an asterisk are required.

3. Fill in the extra details for the employee; if a field is unclear, hover over it for a help text. After filling in
all the fields, press the Save and Return” button. Fields with an asterisk are required.

Workplace Management makes a new private contact in the category 'Private contact employee' when creating an employee from a contact. Both work- and private contact will be linked to the newly created employee. Register the private contact information on the “Employee page.”

Contacts in the 'Private contact employee' category are only visible to users with the right credentials.

Select the function 'Show employee' on the contact page to view the employee information. This button is only visible if an employee is already created and the user has the right credentials to view it.

On the “Employee module,” you will have access to four different tabs:

  • General

  • Issue / Take in

  • Documents

  • Assets

The “General” tab

There are five main topics with fields to be filled.

  • Employee
    The details about the employee are mostly taken over from the contact details.

  • Private
    The private contact details, like phone number and home address

  • Function
    The details about the function, job title, and manager.

  • Contract
    The details about the contract, hire date

  • HR
    You can enter a personnel number here.

The “Issue / Take in” tab

You can create “workflows” for inflows, mutations, and outflows on this tab.

The “Documents” tab

On this tab, you have an overview of the documents regarding the employee. You can add and delete documents.

The “Assets” tab

On this tab, you can assign assets to an employee, for example, a laptop or a car.
