License Types

After reading this article you will be able to:
Distinguish between the different license types
What license types are there
Licenses decide the authorizations basics for every user. The license type is set on the user and can be found on the user page.
What we mean with authorization basics is that if a user has a Requestor license, it will never be able to create and modify all objects, because they will not be able to obtain the User profile/groups that are needed to do so. The most basic level of authorization is given to a user by their license.
Licenses can only be assigned if enough licenses are available. This can be checked on the system administrator's startBoard or via:
Click on Client settings button on you startBoard.
The “License items” include is available on the bottom of the page.
This include gives basic information about the licenses that are available in the environment.
Commonly used license types
Requestor: Can only create and change (own) reservations, requests and visitors. Also has limited view rights.
Limited user: Can additionally modify reservations, requests and visitors (via a workflow task). Can not modify other objects, but can execute workflow functions on objects (via a workflow task).
Full user: This license gives the user the rights to create and modify all objects.
Support licenses
Administrator: admin license typically used for automated user such as web service users and sometimes for admin users.
Special user: special license for (customer) specific cases. Usually not needed.
System Administrator: It is not possible to login with a user that has this license type. Used solely for the user that is set in the field “client.adminSystemUserId”.
Support: currently not in use.
For normal day-to-day use only three license types are used: Requestor, Limited user, and Full user.
Required license for user groups
User groups might require a certain license. More on user groups can be found in https://spacewell.atlassian.net/wiki/spaces/~62e256719974783acc356c63/pages/41058309. When you open a user group (button on your startBoard), the setting “Minimum license required” indicates the minimum license type that is required.
GOB-G007 Editing properties for example requires a full user license. To make use of this user group a user needs a ‘full user’ license. If the user only has a Requestor or Limited user license, the user would still not be able te edit a property and thus have view access only.
The table below describes what (commonly used) license type suffices depending on the “: Minimum license required” setting
Minimum license required setting | What license type does the user need to make use of this group? |
---|---|
Requestor | Requestor, Limited user, or Full user |
Limited user | Limited user, or Full user |
Full user | Full user |
Automated check when assigning a user profile
When assigning a user profile to a user, Workplace checks if license type of the user matches the minimum required license type in all of the groups in that profile.
