  • Create a template from an instance.

  • Set this specific template on a particular category.


Category template

Workplace uses several different types of templates. One of these templates is the category template. If a category template is defined, every new instance created in the particular category will adopt the pre-defined settings of the template. The settings are based on an instance that has been turned into a template.

 Create a new category template

Create a new category template

A new category template is created based on an instance. Theoretically, every instance created in a category can serve as a template. In the example below, we are creating a new category template from a request.

  1. Create a new instance from the object in which the new template should be set;

  2. Adjusting the fields on the instance page will determine the default values of every new instance created in this category.

    1. When linking other instances, such as Contacts, Properties, Areas, Assets, etc., to the original instance, these objects will always be linked to every new instance being created.

    2. Every value selected from a drop-down selection menu will always be pre-selected for every new instance.

    3. The date and time fields set on the original instance will show the same values for every new instance created.

    4. Any free text field will show the exact text specified in the original instance.

    5. All empty fields will remain empty in every new instance created.

    6. Fields that are automatically filled in will remain dynamic.

  1. When all the applicable fields have been set, we create the new template by clicking on the template button in the top right corner;

After clicking on the template button, the template is generated and saved in the background. Note: The instance page will close and you will be brought back to the main page.

 Link the template to a specific category

Link the template to a specific category

When a template has been created from an instance, it is ready to serve as the defining template for every new instance being created in a specific category. To set this up, we do have to link the template to a specific category.

  1. Search for the object in which the template should be specified on;

    1. Use the Object button on the startboard;

      1. In our example, we are searching for the object “Request”.

  2. Open the Object by clicking on the hyperlink under the column Name;

  3. Navigate to the category list by clicking on the folder icon in the top right corner;

  4. Select the category that the new template should be linked to;

    1. Make sure that the category has been highlighted in grey;

    2. Click on the Edit category button in the top right corner after selecting a category;

    3. You will now be brought to the settings page of this specific category.

  5. Click on the three dots next to the field Template;

  6. Select the template that was created in the previous section and click OK.

After having linked template “REQ-000589” to category “Cleaning board room“, we have made sure that every new request that is created in this category, “Cleaning board room”, will adopt the settings of the request, REQ-000589.

  1. Create a new instance in the category in which the template has been linked to.

    1. The data we filled in earlier will be carried over to every new request in that specific category.
