Permanently delete objects
For the basics on the bin and archive check out Deleting and archiving
Search the bin/archive
The easiest way to navigate to objects that where recently deleted/ archived by you, is by clicking your user profile at the top right corner and look for your objects under history or the bin.
If the object you are looking for is not in there (too old or not deleted by you), objects can be found in the archive or bin.
Navigate to Admin via the navigation menu.
Click on bin or archive.
When we know the object we are looking for, we can fill in the type of object in the Type field.
When looking for archived users we fill in: SystemUser.
When we also know the time span in which we know these objects have been archived/deleted we can also add dates in the date filter.
Click search or press <enter>.
On the results page we can see the archived/ binned objects including information on: archive/ deletion date and by whom the object was deleted/ binned.
Tip: The bin and archive folders contain a large amount of objects. It is important to limit your search as much as possible by adding in object types and date filtering.
Restore objects from the bin/archive
When we restore objects from the results page we can restore them in bulk. To do this:
Select the objects you want to restore.
Click Selection.
Click Restore.
To restore a single objects you can also:
Open the object you want to restore by clicking the hyperlink .
Press the restore icon.
Permanently delete items from the bin
Workplace also allows for manual and automatic permanent removal of binned items. To be able to do this we need to enable the relevant client settings:
Press Client setting on your startBoard;
Interface tab;
The relevant settings are;
Name | Description |
---|---|
Days in bin | Days that an object is allowed to be in bin before being eligible for automatic removal. A minimum number of 7 days must be configured. When no number is set here, but allow remove is set to yes, it is allowed to permanently delete items right after moving them to the bin. |
Allow remove | If set to yes, users are allowed to remove binned objects. |
Automated deletion of binned items
These client settings apply for the complete environment. Note: the actual days after which an object is automatically permanently deleted is set on object level.
Navigate to an object via the ‘objects’ tile on your startBoard.
Search for an Object.
Click on the hyperlink of the object to open it.
Here we should fill in the setting ‘days in bin’.
Name | Description |
---|---|
Days in bin | Number of days maximum that an object can remain in the bin. When this number of days has passed, the object will automatically be removed from the bin. If the number of days is set to 0, no objects of this type will be automatically removed. |
Manual deletion of binned items
When the client setting “Allow remove = yes”, the setting for permanent removal is available. When navigating to an object in the bin this icon will be available.
After clicking this and permanently removing the item, Workplace will provide a list with possible related objects that will also be removed. After permanently removing an item it will no longer be visible in the bin/archive or in the user profile bin/history list.
Keep in mind: not all objects, like users, can be deleted and therefor permanent deletion is also not possible. For items in the archive, before being able to permanently delete these, they have to be restored → deleted → permanently deleted.
