Administrator startboard

As an administrator, the startboard you get is a bit different from the startboard a regular user has. This administrator startboard is aimed towards providing the administrator with the most relevant options for his or her (daily) tasks.

The exact options on the startboard depend on the administrator level of your user. For more information on administrator levels, see Administrator levels. This article is focused on the option for a level 1 administrator.

This startboard contains the following options in the different button bars:

Translations: Search on translations used in the system and per translation, it is possible to override the existing translation (per langues) in a custom translation. For more information on translations, see: Languages and translation strings in the ‘Day-to-day admin tools’ part

Module settings: Open the settting overviews. Via this menu option, the settings available for each enabled module can be changed. For more information on the module settings, see: Module settings in the ‘Day-to-day admin tools’ part

Find object via reference: Use this search option to quickly find a specific object (for instance a specific reservation or request) by inputting the exact reference (e.g. ‘RES-240032’). This is a quick and easy way to open a specific object, without first needing to navigate the the specific menu option (for instance ‘reservations’ to search for this type of object via the regular search option. You can only use the reference in this search and it has to be the complete reference.

Custom imports: If there are any custom made /wiki/spaces/KB/pages/210239617imports available (for instance an active directory import based on SFTP), these will show up via this option. both the import results as well as error logs can be looked into per custom import. Groups: This gives an overview of all the available system groups. For more information, see: System groups in the ‘Authorizing users’ part.

Profiles: This gives an overview of all the available user profiles. For more information, see: User profiles in the ‘Authorizing users’ part.

Users: This gives an overview of all the user in the system . For more information, see: Managing users

Authorization matrix: The authorization matrix shows an overview of all the client's user profiles with all system groups included. Via this matrix, you always have an up-to-date authorization matrix available to see which profile has which access rights (based on the assigned system groups)

User profile matrix: For more information on the user profile matrix, see: User profile matrix in the Authorizing users part.

Apart from the above described function buttons, the startboard also contains multiple overviews:

Failed script schedulers: Certain background tasks are executed periodically via scheduled scripts. For instance the anonimization of certain data is done this way (if this feature is enabled). These script schedulers can also contain custom scripts (for instance a custom script that automatically archives users with a login date more than x weeks ago and runs every night).
Since it is always possible that for some reason such a script runs into a problem and stops running, the administrator startboard has an overview of failed script schedulers. If there are no failed script schedulers, this overview is not shown.
In case of a failed script scheduler, it is possible to open the script scheduler and see the error log. After the cause of the problem is fixed, the script scheduler can be put back to active and the status back to scheduled. If in doubt, contact customer support for assistants. Deactivated users: Any user that is currently deactivated is shown in this overview. This can help the administrator with quickly activating users that, for instance, are deactivated because of the use of a wrong password. If a user is deliberately deactivated, these also show up in this overview and can be used as a reminder to archive the user, to free up the user license. License use: This graph directly shows the total user licences versus the still available user licences. For more information on user licences, see: User licences

Authorization check: This overview shows all the user profiles and per profile if and to how many users it is assigned. This can be used to make sure all the user profiles are assigned to users

Administrator navigation menu

As an administrator, the navigation menu you get has all of the same option each regular user has (for instance, the options to search in organisations and persons) and also has some administrator specific options. These options are aimed towards providing the administrator with the most relevant options for his or her (daily) tasks. Some of the navigation menu option are also available as function buttons on the administrator startboard.

The exact options navigation menu depend on the administrator level of your user. For more information on administrator levels, see Administrator levels. This article is focused on the option for a level 1 administrator.

Users: The same option as on the startboard, see above

Profiles: The same option as on the startboard, see above

Bin: Objects that have been removed can be found back in (and if needed, restored from) the bin. For more information on the bin and archive, see: Bin - Archive

Archive: Objects that have been archived (similar to removing, but these are stored in the archive instead of the bin) can be found back in (and if needed, restored from) the archive. For more information on the bin and archive, see: Bin - Archive
