First time use

User should have valid Cobundu credentials (Basic User Profile)‪

If you’re already logged in on the Go Webportal, go to https://spacewell.atlassian.net/wiki/spaces/KB/pages/160104537/GO+-+Profile+Settings#Connected+Devices to create a QR code that will allow a log-in to the app without having to provide credentials.

To log in with credentials:

If SSO is set up for your environment

  1. Log in with your SSO user details. The Workplace platform will recognize SSO has been set up and log in automatically.

  2. Select your building and you’re good to go

If SSO is set up, but your SSO connection is currently not working, please reach out to your Administrator.

Only if you have received specific Workplace login details you can use the “Cobundu login” method or use the “Forgot username or password?” functionality

‪If SSO is not set up for your environment

  1. Log in with the provided log in details.

  2. Select your building and you’re good to go

Sessions are stored for a couple of days, so you might not have to log in every time.

After logging out, we’ll still remember your user name. You only need to provide your password.

In case your forgot your password, Workplace can send you a code to retrieve your login (if e-mail has been configured)

‪‘Location selection’ screen is displayed only when the user logs in for the first time.

‪User is navigated to Home screen upon selecting the region and building.

‪The user's current location is a building instead of a floor. This enables users to work across multiple floors in a building in the Workplace app.

‪To keep the user's location scope flexible, it's possible to perform operations (e.g., searching for a room) across one or more floors in the building.

‪It is now also possible to consult live floorplan of all floors in the building to make an informed decision based on live occupancy status.

Upon selecting a floor, the corresponding floor plan is displayed

‪‪If there are multiple floors set up for the selected building: swipe right or left to switch between floors.

‪Zoom in or zoom out using ‘+’ and ‘-’ icons or using the touchscreen.

‪By default, the floorplan will show reservation view without any filter on locations, but you can use Action Buttons:

  • View by: shows the different floorplan views that are available (depending on sensor data being captured), i.e. reservation, occupancy, temperature, etc.

  • Filter by zone: the floorplan will only show the reservations/occupancy of the selected zone

Upon location selection, Resource Detail Screen will open.

  • Header shows resource name/reference, picture, location, capacity. The star in the top right corner can be clicked to make this a “Favorite resource” (see Select Favorites)

  • 1st tab: Room Info

    • Data card shows all available live data for the selected resource, in below example this means comfort data as well as information on occupancy state, and when occupancy was last detected.

    • Timeline card shows the next couple of hours. Green and red dots indicate if the resource is available (green) or reserved (red) in that time frame.

    • Possible actions from this Resource Detail Screen:

      • Book this resource

      • View on floor plan: floor plan will load, while current resource is highlighted

  • 2nd tab: Timeline

    • All the reservations of the selected room are displayed in this screen.

    • Each reservation is displayed in the accent color.

    • Unavailable time of the room is represented with gray lines.

    • User can create a new booking by selecting any free time slot. When user selects any free slot, a 1hr meeting slot is displayed.

      • Drag-and-drop to make the reservation longer or shorter

      • Select meeting slot to navigate to ‘Room booking’ screen.

    • Reservation detail screen is displayed upon any reservation selection

    • ‘<‘ , ‘>’ icons helps the user to navigate to the past and future dates.

    • Date picker is displayed when user selects ‘Today’, which allows the user to change date.
