Microsoft
At its core, Microsoft Exchange is a robust messaging and collaboration platform developed by Microsoft. It is widely used for email communication, calendar management, and organizational collaborative tasks. Now, things get even more interesting when integrating with an external application like Spacewell`s IWMS (Integrated Workplace Management System).
Workplace (Management) is a specialized software designed for managing various aspects of the workplace, from facilities and space planning to maintenance and resource allocation. Integrating with Microsoft Exchange creates a powerful synergy between communication and facility management.
The integration between Microsoft Exchange and Workplace allows for a seamless flow of information. For instance, let's say you have a meeting scheduled in your Exchange calendar. With the integration, Workplace can access this information, automatically adjust room bookings, or manage resources based on the meeting schedule. On the flip side, if there are changes in space utilization within Workplace Management, this information can be reflected in your Exchange calendar, keeping everyone on the same page.
This collaboration ensures that the workplace environment is efficiently managed and aligns with the dynamic nature of your daily schedule.

Sync bookings with Exchange
Exchange sync for Microsoft Exchange lets you link meeting room calendars in Exchange with rooms in Workplace and have them stay in sync with each other.
Synced across all devices
Exchange sync monitors both calendars and automatically synchronizes any booking made, edited or deleted, enabling users to make bookings using any Spacewell touchpoint like kiosk, app or room display.
Keep your trusted environment
Exchange sync has no impact your existing calendars, so users who prefer to remain in Microsoft Outlook won’t even notice the difference.

With everything in sync, users can enjoy they preferred touchpoints whenever and wherever they are, which will positively impact the user experience.
User Story
As a user of Spacewell's workplace software, I want the reservation module to seamlessly sync with Microsoft Exchange using MS Graph, enabling room-centric synchronization of single and recurring reservations, both single and multi-room scenario’s. This will ensure that our users can efficiently manage and book meeting rooms in either Outlook or from Spacewell Workplace apps, while maintaining up-to-date availability.
When an employee makes a reservation through Outlook, the Exchange Sync ensures that the reservation details are accurately reflected in all relevant Spacewell Workplace touchpoints. Similarly, when a reservation is made through one of the Spacewell Workplace touchpoints, the Exchange Sync synchronizes the reservation with Outlook, keeping both systems up-to-date.
