Voorraadbeheer helpt om te bepalen welke en hoeveel voorraad op welk moment moet worden besteld. Het volgt de voorraad vanaf de inkoop tot aan de verkoop van goederen. Het identificeert en reageert op trends om ervoor te zorgen dat er altijd genoeg voorraad is om bestellingen uit te voeren en om goed te waarschuwen voor een tekort. Workplace Management kan dit voor je doen en hier lees je hoe je dit kunt instellen in Workplace.

How to create a storage

Before we can use “Inventory Management,” we need at least one storage. We can find “Storages” in the menu under “Assets.”

To create a new storage, follow the next steps.

1. Open the “Storages” module using the option under “Assets” in the menu.

2. Press the button “New.”

3. Fill in the fields. The greyed-out fields are filled in automatically.

4. Press the “Save and return” button to complete the creation of a storage.

‘Settings’ tab

In the settings tab you can change a few settings:

• Organization
  You can set an organization, as extra info regarding the location.

• Default location
  You can set a default location in the storage, so you don`t have to set that if you add new items.

• Stock valuation
  You can also set how the stock value is calculated regarding price changes.

Een opslag maken
Een opslag maken Voordat we "Voorraadbeheer" kunnen gebruiken, hebben we ten minste één opslagruimte nodig. We kunnen "Opslag" vinden in het menu onder "Activa". Image Added Volg de volgende stappen om een nieuwe opslag aan te maken. Open de module "Opslag" via de optie onder "Activa" in het menu. Druk op de knop "Nieuw". Vul de velden in. De grijze velden worden automatisch ingevuld. Druk op de knop "Opslaan en terugkeren" om het aanmaken van een opslag te voltooien. Naam veld Beschrijving Referentie wordt automatisch gevuld Ouder Als de opslag deel uitmaakt van andere (uitgebreidere) opslag, selecteer dan het magazijn waar het deel van uitmaakt. Naam Geef de opslag een naam Gebied Toewijzen in welk gebied de opslag zich bevindt Opslagmanager Wijs een opslagbeheerder toe aan deze opslag Ordertype Besteladvies orders Selecteer het type inkooporder. Als de vervolgkeuzelijst leeg is, moet je eerst inkoopordertypes maken (zie artikel over inkooporders). Image Added Tabblad 'Instellingen Op het tabblad Instellingen kun je een paar instellingen wijzigen: Organisatie Je kunt een organisatie instellen als extra informatie over de locatie. Standaardlocatie Je kunt een standaardlocatie in de opslag instellen, zodat je die niet hoeft in te stellen als je nieuwe items toevoegt. Voorraadwaardering Je kunt ook instellen hoe de voorraadwaarde wordt berekend met betrekking tot prijsveranderingen. Info Goed om te weten: gebruik alleen de laagste hiërarchie voor een standaardlocatie.

Storage Locations

The previous screenshot shows that the storage module has three different tabs. On the tab “Locations,” you can create locations in the storage. The storage has to have at least one storage; the whole storage can be one location. For example, if the storage is a relatively small room, you don`t have more places to specify an item’s location.

The storage locations are the actual locations within a storage where the inventory item is placed. This can be put in a hierarchy level, for example: Hall B → Rack 3 → Bottom Shelf Rack 3

How to create storage locations?

1. Navigate to the “Locations tab” of a storage.

2. Press “New”

3. Fill in the fields

4. Click the ‘Create new sub item’ (icon on the top right) to create a sub location. When using this method, the current location is automatically set as parent of the location location that is created.

5. Press the “Save and return” button to return to the previous screen

Create catalog item

An inventory item is linked to a catalog item. Before adding a new item to an storage, always check if the catalog item exists. If the catalog item does not exist, follow the steps described here (orderable items section) to create a new one.

How to add a new item to the inventory?

1. There are more ways to add an item to the inventory. Use one of these options:

   1. Use the option “Storages” in the menu under “Assets” > open a storage > click on the button “Inventory” > click ‘Search’ >new (Note: the ‘new’ button might also already be available on the top right of the search screen). This is the preferred way when adding multiple items because the Storage will be filled in automatically.

   2. Navigate to “Inventory” by using the option in the menu under “Assets” and press the “New” button.

2. Fill in the details of the Inventory item.

3. Use the locations tab to assign a “Storage location.”

4. Press the “Save and return” to save the item.

Actual stock (quantity) of the inventory & transactions

Automatic transaction

Transactions are created automatically when there is an internal or outgoing purchase order. This way, the changes in the quantity of the items can be tracked in detail.

Manual transactions

It is also possible to manually create these transactions (for example: as a correction), to register the initial stock, or to register the transfer (part of the) stock to another storage or to another location in the same storage (other shelves for example).

To create a manual transaction, follow the next steps:

1. Navigate to your inventory item:

   1. Use the “Inventory” option in the menu under “Assets ”and search for the inventory item you want to edit.

   2. If you know where the item is located, open the storage using the option “Storages,” and next, press the " Inventory " button, search for your item, and open the one you want to edit.

2. After opening the item, you will see the “General” tab. Press the “Transactions” tab.

3. You will see three buttons:

   1. Create out transaction, for creating outgoing transfers.

   2. Create in transaction, for creating incoming transfers.

   3. Export to Excel, for exporting a list in excel of all transfers.

4. Press “Create out transaction” or “Create in transaction” to create a transaction.

5. Fill in the details and the quantity (in the include at the bottom) you want to transfer.

6. In one transaction it is possible to transfer multiple inventory items. Click ‘Add inventory item’ to add another transaction item

7. Press the “Process” button.

Opslaglocaties In de vorige schermafbeelding zie je dat de opslagmodule drie verschillende tabbladen heeft. Op het tabblad "Locaties" kun je locaties in de opslag aanmaken. De opslagruimte moet ten minste één opslagruimte hebben; de hele opslagruimte kan één locatie zijn. Als de opslagruimte bijvoorbeeld een relatief kleine ruimte is, heb je niet meer plaatsen om de locatie van een item op te geven. De opslaglocaties zijn de feitelijke locaties binnen een opslag waar het inventarisitem wordt geplaatst. Druk op "Nieuw". Vul de velden in Klik op het pictogram 'Nieuw subitem maken' (rechtsboven) om een sublocatie te maken. Als je deze methode gebruikt, wordt de huidige locatie automatisch ingesteld als ouder van de locatie die wordt aangemaakt. Druk op de knop "Opslaan en terugkeren" om terug te keren naar het vorige scherm. Hoe voeg je een nieuw item toe aan de inventaris? Er zijn meer manieren om een item aan de inventaris toe te voegen. Gebruik een van deze opties: Gebruik de optie "Opslagplaatsen" in het menu onder "Activa" > open een opslagplaats > klik op de knop "Inventaris" > klik op 'Zoeken' >nieuw (Opmerking: de knop 'nieuw' kan ook al beschikbaar zijn rechtsboven in het zoekscherm). Dit is de voorkeursmanier bij het toevoegen van meerdere items omdat de Opslag automatisch wordt ingevuld. Navigeer naar "Inventaris" via de optie in het menu onder "Activa" en druk op de knop "Nieuw". Vul de gegevens van het inventarisitem in. Gebruik het tabblad Locaties om een "Opslaglocatie" toe te wijzen. Druk op "Opslaan en terugkeren" om het item op te slaan. Info Inventarisitems zijn altijd gekoppeld aan een catalogusitem en sommige velden worden automatisch overgenomen bij het selecteren van het item. Werkelijke voorraad (hoeveelheid) van de inventaris & transacties Info De voorraad van een item wordt automatisch berekend via transacties en kan niet handmatig worden gewijzigd. Er wordt een transactie gemaakt om de voorraad up-to-date te houden. Automatische transactie Transacties worden automatisch aangemaakt wanneer er een interne of uitgaande aankooporder is. Op deze manier kunnen de wijzigingen in de hoeveelheid artikelen in detail worden bijgehouden. Handmatige transacties Het is ook mogelijk om deze transacties handmatig aan te maken (bijvoorbeeld als correctie), om de beginvoorraad te registreren of om de verplaatsing van (een deel van de) voorraad naar een andere opslag of naar een andere locatie in dezelfde opslag (andere legborden bijvoorbeeld) te registreren. Volg de volgende stappen om een handmatige transactie aan te maken: Navigeer naar je inventarisitem: Gebruik de optie "Inventaris" in het menu onder "Activa" en zoek naar het inventarisitem dat je wilt bewerken. Als je weet waar het item zich bevindt, open dan de opslag met de optie "Opslag" en druk vervolgens op de knop "Inventaris", zoek naar je item en open het item dat je wilt bewerken. Nadat je het item hebt geopend, zie je het tabblad "Algemeen". Druk op het tabblad "Transacties". Je ziet drie knoppen: Uitgaande transactie aanmaken, voor het aanmaken van uitgaande overschrijvingen. Aanmaken in transactie, voor het aanmaken van inkomende overboekingen. Exporteren naar Excel, voor het exporteren van een lijst in Excel van alle transfers. Druk op "Maak transactie uit" of "Maak transactie in" om een transactie aan te maken. Vul de gegevens in en de hoeveelheid (in de lijst onderaan) die je wilt overmaken. In één transactie is het mogelijk om meerdere inventarisitems over te dragen. Klik op 'Inventarisitem toevoegen' om nog een transactie-item toe te voegen Druk op de knop "Verwerken". Info Beweeg de muis over de velden om de beschikbare helptekst te bekijken. Image Added
