Learning Objectives

After reading this article, you’ll be able to:

  • Use the authorization matrix to decide on user profiles together with the customer.


Both matrices can be found on the startboard by clicking the buttons ‘User profile matrix’ and ‘Authorization matrix’.

What is the authorization matrix

This overview is used to determine what existing profile a new user should get. The authorization matrix :

  • gives an overview of all user profiles, including;

  • an overview of which groups are in the profile, and;

  • a description per group.

What is the user profile matrix

When the Solution based rollouts are used to create the environment, the user profile matrix is purely informative. After finishing the Solution bases rollouts it will give you an overview of what user groups are part of the created User profiles.

In the occasion an environment is implemented without using the Solution Based rollout the user profile matrix ius a tool to manage and help create new user profiles based on the user group groups present in your environment.

  • The user profile matrix should be exported to Excel and can be used together with the customer to determine which profiles are desired, including which groups should be included in which profile.

  • Only relevant groups are shown here (based on the modules that are in use (indicated via the settings per module))You can use the profile wizard to generate the actual profiles needed.

  • When using the SBRs ( Step by step implementation guides (SBR) || UNPUBLISHED) you will notice there are already user profiles readily available in the environment. In that case the matrix will also show these profiles indicating which user groups are present in which user profile.

Use the user profile matrix

To download the matrix:

  1. Click the arrow at the top right to download the full list to excel.

    1. If you don’t make a selection, the full report is downloaded.

    2. If you only want to download a selection, first select the lines you want to export before pressing the download button

  2. After downloading the matrix we can open the sheet in Excel. Here we can see the user groups present in the environment as well as a short description and the license needed for each user group.

  3. Together with the client we go over these groups and possible profiles. Based on what the user profiles are used for, we can decide what groups are necessary within those profiles.

  4. After receiving the form back from the client we can then create the user profiles accordingly.

Which user groups are shown in the user profile matrix ,depends on the modules used in the environment. F.e. if we have no reservation module active there will not be user groups for creating/viewing reservations.
