Starting and stopping workflows

When troubleshooting modules in Workplace some issues originate from the workflow supporting process. When workflows are stuck or throw an error when trying to move to another status, it is very useful to know how to stop and start a workflow to find out what is causing this. Sometimes that might even solve the issue. More on workflow basics in Workflow basics.

How to stop a workflow

In this example we will use a request in the training environment.

  1. To get to the workflow, navigate to the instance page of the request.

  2. On the instance page there might already be a stop icon. See screenshot.

  3. If there is no stop button, navigate to the tab: workflow, and click the stop icon there.

  4. The system will ask: Are you sure? Click: Yes.

This will stop the workflow. When the workflow is stopped, there will be no active tasks, this can be seen in the picture below:

Change workflow status

Now that the workflow is stopped, we can change the workflow status. We can do this to force the workflow to move through the statuses again, or to re-evaluate the request.

  1. Go into correct mode (Read about Correct Mode).

  2. Change the status in the drop down menu on the request instance page.

Think on what other fields might need to be reset when changing the workflow status. For example, a reservation was confirmed and approved by the Servicedesk, and now you want to change the status back to Draft. In this case you will also need to empty the approveDate. Similarly, an work order needs to be re-opened when you are changing the status of a closed work order.

How to start the workflow

To start the workflow, simply click the start button in the top right corner.

If the tasks (on the workflow tab) do not seem to refresh. Click the refresh button on the tasks include, this will refresh the page and show all the active tasks in this workflow again.
