Authorizations in Workplace

Authorizations in Workplace is one of the most challenging things to set up. This is because we can set authorizations in many different ways.

Access Full, View, None or blank

There are three types of access that we can give:

  • View: when using this on fields it means the field will be grayed out. So not editable, only viewable.

  • Full: fields will be white (editable) and all functions are visible

  • None: field/ function/ menu option is hidden.

  • Blank: when nothing is set the access rights for that group are inherited from a higher level.

    • For example when the access for the group “Create reservation“ is blank on pageField level, Workplace looks up to the access set on objectField level, if that is blank, the access on object level is applicable.

The Access List on fields, buttons, function, etc all looks like this:

Here we can see if access is already set (and where that access comes from, in this case: the GO baseline). To deviate from the default settings, we can change access by clicking the arrow and selecting an access type.

When we set access, child user groups in the hierarchy inherit the access from the parent above. We can see that by the “I” - in front of the access. When we change the access in one of the lower User Groups the ‘I' switches to an 'O’ (o for override).

Keep in mind: When setting access on a function button of menu button view access is sufficient, because if you can see a button, you can click it. To give full acces is of no added value in this case.

The basics of setting access to fields, functions and menu options

This chapter described the concept of setting access in a simplified way to give you an idea of the possibilities and help grasp the concept of authorization in a Workplace environment. The exact working will be explained in the articles on application management.

Access to fields and functions

To view/ give access to fields and functions on an instance page the following steps need to be followed.

  1. Navigate to the page, for this example we will use the property instance page

  2. Click on the gear symbol on the top right > press ‘Page definition’.

  3. Go to either the fields or functions tab

  4. Click on the Access Rights (see screenshots below)

  5. Set the rights according to the User Group we want to give the access

Access to menu functions

When setting access to menu functions we do it in the same way as explained above. We have to first navigate to the navigationMenu that is used by the Users we want to change Access for one of the menu option.

  1. On your startBoard press the Profiles button

  2. Open the profile that contains the navigationMenu you want to change

  3. Open the Navigation Menu by pressing the magnifying glass

  4. Go to the tab Functions,

  5. Click on the Access Rights button (same steps as for changing acces on a function)
