Assurance documents (simple)

Assurance documents are used to register documents with an expiration date/next revision date. Documents with validity by law, certificates with an expiration date, and inspection reports must be revised every X period. Via dashboards, all assurance documents can be managed and revised to make sure document do not expire.

1. Click the “Assurance document +” icon on your startBoard to add a new assurance document


2. The following fields should be filled in:

  • Title (mandatory field)

  • Description

  • Next revision date (date on which the document expires and must therefore be revised)

3. Via the ‘Upload’ button, a document can be uploaded

4. Comments can be added to the ‘Notes’ include at the bottom of the page

Click the “Assurance documents” button on your startBoard for an overview.

  • The document overview is sorted by date, with the documents that have expired or are about to expire at the top.

  • This document contains ALL assurance document, so document created by your colleagues can be viewed and changed by you as well.

Traffic lights indicate the need to revise the document:

  • Red: The next revision date has expired.

  • Orange: The next revision date of the document is within the next 30 days.

  • Green: The document has no revision date, or the revision date is further into the future than 30 days from today.

Step 1: open the document (that is about to expire)

  1. Click on the ‘Assurance documents’ overview button on your startboard

  2. Open an assurance document by clicking on a reference link. The same page you see while creating an assurance document is now opened.

Step 2: Download the assurance document

Use the download button on the “General” tab to download the document’s active(latest) version. If you want to download a different version. Navigate to the “Versions “ tab, click on the desired version, and press the “Download” button.

Step 3: Upload a new version and set ‘Next revision date’

  1. A new document version can be added using the Upload function on the existing assurance document on the “General” tab.

  2. After uploading a new document, change the next revision date.

  3. The document will no longer be on top of the report waiting to be revised. A

  4. Add notes and update the description when necessary.

Delete

To delete a document, click the “X” button on the “General tab.” You can find that bottom on the top right corner of your screen.
