1. Master data
Master data forms the foundational elements within any vormt de basiselementen binnen elk IWMS (Integrated Workplace Management System), serving as the backbone for organizational operations and decision-making processes. It comprises essential information that remains relatively static and is importantfor the organization's day-to-day activities.
Master data serves as a reference point for various operational processes, enabling users to accurately identify, track, and manage assets, buildings, areas, and contacts across different functionalities within the software. By maintaining a centralized repository of master data, organizations can streamline processes, improve data integrity, and enhance decision-making capabilities.
2. What is this module about
Assets are one of the master data modules of Workplace Management. For more information on the content of this module, including detailed descriptions of some of the core components, see: Master data Asset module in the 'Application Managers' section.
3. Why use this module
Master data, in this case, assets, serves two main purposes:
Integration Across other Modules:
The Asset module allows you to use asset information in other modules. This offers practical benefits in other modules. Some examples:
Requests: Connecting requests to specific assets (e.g., a broken laptop or a malfunctioning coffee machine) helps the Service Desk to find more related data on the assets (e.g., uploaded manuals or supplier contact details), helping to quickly identify and resolve issues. Additionally, tracking open or total requests per asset assists in resource and maintenance management.
Reservation Management: Reserving equipment (e.g., a beamer) becomes easier, ensuring efficient use of equipment and better asset availability.
Contracts: Linking assets to contracts makes sure the cost and responsibilities can be tracked per asset. Leading to better and more data-driven strategic decision-making and supplier management.
Comprehensive Portfolio Management:
Apart from the use in other modules, the Asset module can aid in managing your assets, as it helps to get insights into the organization's assets, including details like location, ownership, occupancy status, and maintenance history. This overview helps in resource allocation, cost-saving, and strategic decision-making.

3.1 Choices to be made within the module
The most relevant choices that can be made before using this module are the following:
Contextual access
By default, every user can select every asset in other processes if linking an asset is enabled for that module (e.g., every user allowed to create a request is by default able to select every asset when creating a request as long as assets are used in the request module). The same applies to users authorized to create and edit assets, as by default, this system group (3. Edit assets) is assigned to a user overall, thus applying to every asset.
If this should not be the case (e.g., user should only be able to see/select specific assets or only be able to edit specific assets (e.g., all assets of a specific building), contextual access should be enabled via Module settings → Assets: Contextual access to assets (or directly via the module activation). Additional categories
If the default asset categories (described in the Master data Asset module are not sufficient, additional categories can be added. See Master data Asset module for more information on this.
4. How to activate this module
As for every new module, use the ‘Module activation’ option on the administrator startboard (only available for level 2 and level 3 admins). For more general information about these 'Module activation' options, see Module activation.
4.1 Prerequisites before activating this module
The Asset module does not require any other modules to be activated before.
4.2 Module activation

After starting the module activation, the assets-related imports become available to download in the next step. For more details, see further down (Data imports).
Starting the module activation will also enable the relevant user groups, and these can be assigned to user profiles via the User profile management dashboard, which can be found on the admin's startboard. For more details, see further down (User groups and profile suggestions).
4.3 Data imports
When activating this module, some data imports become available, which can be used to quickly import relevant data into the system (as opposed to manually entering this data, which is also possible).
Relevant data imports become available in the module activation after the activation has been started. Default data imports can also be found on the admin's startboard (only for level 2 and level 3 administrators).

2. Waar gaat deze module over

3. Waarom deze module gebruiken
Master data, in dit geval activa, dienen twee hoofddoelen:
Integratie met andere modules:
Met de module Activa kunt u informatie over activa in andere modules gebruiken. Dit biedt praktische voordelen in andere modules. Enkele voorbeelden:
Verzoeken: Door verzoeken te koppelen aan specifieke bedrijfsmiddelen (bijvoorbeeld een kapotte laptop of een defect koffiezetapparaat) kan de servicedesk meer gerelateerde gegevens over de bedrijfsmiddelen vinden (bijvoorbeeld geüploade handleidingen of contactgegevens van leveranciers), waardoor problemen snel kunnen worden geïdentificeerd en opgelost. Bovendien helpt het bijhouden van open of totale verzoeken per bedrijfsmiddel bij het beheer van middelen en onderhoud.
Reserveringsbeheer: Het reserveren van apparatuur (bijv. een beamer) wordt eenvoudiger, waardoor apparatuur efficiënter wordt gebruikt en beter beschikbaar is.
Contracten: Het koppelen van bedrijfsmiddelen aan contracten zorgt ervoor dat de kosten en verantwoordelijkheden per bedrijfsmiddel kunnen worden bijgehouden. Dit leidt tot betere en meer gegevensgestuurde strategische besluitvorming en leveranciersbeheer.
Uitgebreid portfoliobeheer:
Naast het gebruik in andere modules, kan de Asset module helpen bij het beheren van uw bedrijfsmiddelen, omdat het helpt om inzicht te krijgen in de bedrijfsmiddelen van de organisatie, inclusief details zoals locatie, eigendom, bezettingsstatus en onderhoudsgeschiedenis. Dit overzicht helpt bij de toewijzing van middelen, kostenbesparing en strategische besluitvorming.
Samengevat biedt de module Activa praktische oplossingen voor het verbeteren van andere modules en processen en het beheren van uw activaportefeuille.
3.1 Binnen de module te maken keuzes
De meest relevante keuzes die je kunt maken voordat je deze module gebruikt, zijn de volgende:
Contextuele toegang
Standaard kan elke gebruiker elke bedrijfsmiddel selecteren in andere processen als het koppelen van een bedrijfsmiddel is ingeschakeld voor die module (bijv. elke gebruiker die een verzoek mag aanmaken, kan standaard elk bedrijfsmiddel selecteren bij het aanmaken van een verzoek, zolang er bedrijfsmiddelen worden gebruikt in de verzoekmodule). Hetzelfde geldt voor gebruikers die gemachtigd zijn om bedrijfsmiddelen aan te maken en te bewerken. systeemgroep (3. Bewerk bedrijfsmiddelen) wordt toegewezen aan een gebruiker en is dus van toepassing op elk bedrijfsmiddel.
Als dit niet het geval moet zijn (bijv. als de gebruiker alleen specifieke onderdelen moet kunnen zien/selecteren of alleen specifieke onderdelen moet kunnen bewerken (bijv. alle onderdelen van een specifiek gebouw), moet contextuele toegang worden ingeschakeld via Module-instellingen → Assets: Contextuele toegang tot assets (of direct via de moduleactivering). Extra categorieën
Als de standaard activacategorieën (beschreven in de Module Master data Activa niet voldoende zijn, kunnen extra categorieën worden toegevoegd. Zie Module Master data Activa voor meer informatie hierover.
4. Hoe deze module activeren
Zoals voor elke nieuwe module gebruikt u de optie 'Module-activatie' op het startpaneel van de beheerder (alleen beschikbaar voor beheerders van niveau 2 en 3). Zie voor meer algemene informatie over deze opties voor moduleactivering Module-activatie.
4.1 Vereisten voordat u deze module activeert
De Asset-module vereist geen activering van andere modules.
4.2 Activering van module
Voor deze specifieke moduleactivering is slechts één instelling van toepassing:

Na het starten van de activering van de module wordt de import van de assets beschikbaar om te downloaden in de volgende stap. Voor meer details, zie verderop (Gegevensimporten).
Door de activering van de module te starten, worden ook de relevante gebruikersgroepen ingeschakeld. Deze kunnen worden toegewezen aan gebruikersprofielen via het dashboard Gebruikersprofielbeheer, dat te vinden is op het startbord van de beheerder. 4.3 Gegevensimport
Bij het activeren van deze module worden enkele gegevensimporten beschikbaar, die kunnen worden gebruikt om snel relevante gegevens in het systeem te importeren (in tegenstelling tot het handmatig invoeren van deze gegevens, wat ook mogelijk is).
Relevante gegevensimporten worden beschikbaar in de moduleactivering nadat de activering is gestart. Standaardgegevensimporten zijn ook te vinden op het startbord van de beheerder (alleen voor beheerders van niveau 2 en 3).

4.4 Gebruikersgroepen
Systeemgroepen kunnen worden toegewezen aan gebruikersprofielen wanneer een module wordt geactiveerd. Deze systeemgroepen geven gebruikers toegang tot (een subset van) navigatiemenuopties, startbordtabbladen en taken in de relevante workflow(s).

4.5 Navigatiemenu en startbordopties

6. Additional settings and options after enabling
For some modules, additional settings can be configured after the initial module activation via the 'Module settings' option on the administrator startboard. A module is always activated with the most used settings pre-defined. After the module is activated, the module may have more advanced settings available, which can also be managed via the Module settings.

Het is niet nodig om toegang te hebben tot de navigatiemenuoptie(s) voor Master data om deze objecten in andere processen te kunnen selecteren. Eindgebruikers hoeven bijvoorbeeld waarschijnlijk niet te zoeken naar bedrijfsmiddelen via het navigatiemenu, ze hoeven alleen een bedrijfsmiddel te kunnen selecteren in een nieuwe aanvraag of reservering. Als contextuele toegang tot bedrijfsmiddelen NIET wordt gebruikt (standaard gedrag), dan kunnen gebruikers die de autorisatie hebben om een aanvraag, reservering, bezoeker, inkooporder of een ander proces aan te maken ook een bedrijfsmiddel selecteren in die processen (als dat van toepassing is in dat proces). |

6. Extra instellingen en opties na het inschakelen
Voor sommige modules kunnen aanvullende instellingen worden geconfigureerd na de eerste activering van de module via de optie 'Module-instellingen' op het startpaneel van de beheerder. Een module wordt altijd geactiveerd met de meest gebruikte instellingen vooraf gedefinieerd. Nadat de module is geactiveerd, kan de module meer geavanceerde instellingen beschikbaar hebben, die ook kunnen worden beheerd via de Module-instellingen.
