Learning Objectives

After reading this article, you’ll be able to:

  • Define capacities in Workplace

  • Understand the levels at which capacities can be set in IWMS and Workplace

  • Configure capacities for optimal use of Space Monitor Dashboard


The usage of the room capacity section in Workplace Back-end https://studio.cobundu.com/ is two-fold:

  • Retrieve room capacities from Studio for the Space monitor Dashboard

  • Enable utilization thresholds that are shown on live floorplan in GO

Configuration

The configuration of room capacities is simply managed with an import/export excel feature (no UI edit available).

  • For each room, a room capacity and capacity limit can be set (the number of people in the room)

    • There are 3 levels: “quiet”, “crowded”, “exceeds capacity”

  • Room capacities are automatically populated with IWMS reservable room capacity* or sum of number of workplaces.
    There is a kind of cascade behind it:

  1. Is Workplace Capacity filled in? Then Workplace value will be used

  2. Is Workplace Capacity empty? Then Workplace will check if this location ID is linked to an IWMS Reservable Room and fill in Workplace Capacity with that IWMS value -> next time, step 1 will apply

  3. Is Workplace Capacity empty and there is no IWMS reservable room? Then Workplace will check if this location ID is an IWMS Workplace. If this is the case, then Workplace Capacity will be set as value “1”.

So if you update IWMS on a Reservable Room, we suggest you empty the location-values in Workplace (for that location), so that it picks up the latest IWMS values.

Mind, “emptying” the values is not the same as setting "capacity" to 0!*

  • The maximum for the crowded utilization equals the room capacity by default

  • If the utilization capacity exceeds the crowded max it means that the capacity is exceeded

  • If no configuration is provided for quiet max, the rooms will show in case of utilization as crowded by default

  • An Admin can overwrite the default values for room capacity, quiet max and crowded max in https://studio.cobundu.com/ Capacity configuration

  • Capacity of a workplace is always 1 and that is per definition the maximum utilization, hence workplace capacities are not configurable.

  • Only Capacity (quiet OR crowded) > 0  will trigger utilization analysis


Additionally, utilization thresholds can be enabled:

  • This will result in showing utilization for workplaces and rooms in terms of quiet, crowded or exceeds capacity on live floorplan in GO

  • Users can assign a color to the utilization thresholds in Live floorplan settings

* IWMS reservable room capacity filled in, but utilization not in scope

In Space monitor, the assumption is that if Room Capacity is filled in and sensors are installed, utilization is being measured. Typically the dashboard analyses occupancy + utilization (either direct utilization using a headcount sensor or indirect utilization based on PIR sensors).

Taking all of the above into account: In case utilization is out of scope, room capacities should not be filled in, since capacities relate to utilization in Space Monitor.

Yet in some cases, when Reservations functionality is enabled, and sensors are installed that may or may not be relevant for the reservable rooms (for example when you’re only tracking occupancy using PIR sensors), room capacities might be filled in, but not for measuring utilization.

The trick is that capacities can be defined on 2 levels: in the IWMS and in Studio. So without reservations in IWMS, you can have utilization in Space Monitor if you configure room capacities in Studio.

And the other way around, if you have Reservations configured in IWMS, but are not using utilization in Space Monitor, you should reset the room capacities to 0 in Studio. This can be done via file import.

Mind the difference between 0, NULL or empty values.

It is not possible to set or override NULL or empty capacities in Studio. You can configure a positive value or 0.

To keep IWMS-defined capacities, no action is needed in Studio, IWMS capacities will apply by default.

Following the file import with 0 capacities, Space Monitor should only show occupancy. On top of that, you can hide the Utilization sheet in Space Monitor.
