Registering a visitor

When a visitor is registered, the visitor will have the status “Registered.” You can find registered visitors on your startBoard. If you click on the visitor, you will see the details of the visitor. There are a few things you can do here.  

  • You can cancel the visit; the status will be changed to “canceled.”

  • You can change the details regarding the visit, for example, the arrival time.

  • You can sign in a visitor upon arrival.

When a visitor arrives unannounced or a colleague asks you to register a visitor, you can create a visitor by clicking on the ‘Visitor+’ button. For instructions on registering a visitor, view the Visitors article.

 Visitor Arrival

When a visitor arrives, or signs in, you can update the visitor in Workplace by pressing the “Arrived now” button. The visitor`s arrival time will be filled in automatically. It is on the same screen as you have registered a visitor. The status of the visitor will be changed from registered to arrived.

 Cancel Visitor

You can cancel not only your own, but all visitors. So if an expected visitor contacts you that this person cannot make it, you can cancel the Visitor in Workplace. Regular users can only cancel their visitors.

To cancel a visitor: open the visitor > click the “Cancel visitor” button.

 Print Badge for Visitor

Print Badge for Visitor

This is an optional setting. When enabled, you can print a badge for a visitor. Before or upon arrival, you can add a badge number (this is optional). There are two ways to print a badge:

  • On your startBoard open a visitor by clicking on the reference > click on ‘Print badge.’

  • On your startBoard select one or multiple visitors > click on the “Print selected badge” button

If the visitor leaves, you can process this in Workplace by opening the visitor and clicking on the “Departed now” button. By clicking the button:

  • The current time will be filled in as the departure time.

  • The visitor status changes to “departed.
