After reading this article you will be able to:

  • Consult different admin reports


On a daily basis reports are used for analyses and problem detection. This article will go over the most frequently consulted reports in an environment:

  • E-mail log

  • System access

  • License use

To access one of these reports, press the Reports button on your startBoard or press the Reports menu option in the navigation menu.

Email log (REP-031)

The Email Log can also be found as a button on the startBoard for System admins. The Email Log is used to check outgoing emails from the system. Any email that has been sent from Workplace can be found in the Email Log.

Emails are saved for 3 months, after that they are deleted and can no longer be consulted using the Email Log.

The Email Log report shows the status of the email, whether or not it has been sent out, and basic info like the From, To and Subject:

Based on the Subject and Message it is also possible to find what workflow/connector the email originates from (more on workflow emails in /wiki/spaces/KB/pages/25034763).

As we can see only emails that are send out get a message-ID header, this is a unique reference for emails worldwide and can for example be used to find an email on the clients email server. A message-ID header is created when no email has been sent out.

Keep in mind: Even though this report is also available in backup environments, by default emails are not send out in backup environments. To turn on testing take a look at Enable mails on backup or test

Failed

If sending the email failed, you can press the ‘failed’ hyperlink for more information.

System Access (REP-353)

The System Access report is used to check logins within a time span. Say we want to know who logged in the training environment 15-11-22, this is the result we get:

In the report results we see:

  • Logged in: The date and time the user has logged in.

  • User: who tried to login/logged in.

  • IP: from which IP address was the login attempted.

  • Status: shows the current status of the login attempt.

    • Login: user is currently logged in.

    • Logout: user logged out using the logout button.

    • Wrong password: wrong password was entered by the user.

    • Timeout: session timed out (timeout time is a client setting).

      • Note: when a user closes the application by closing the browser tab (instead of using a logout button) the session status initially remains ‘Login’. After the timeout time has elapsed, the status of this login attempt changes to ‘timeout’.

  • Switched via: indicates whether the user itself logged in (column is empty), or a system administrator switched to this user.

License use (REP-427)

The license use report is used to check all total/used licenses in the current environment.
